Who is responsible

Stand-By Studios is responsible for information submitted through this site.

Stand-By Studios is a videography and photography business based in Rochester, Kent. Privacy questions can be sent to admin@standbystudios.co.uk.

Information collected

Only information needed to operate the website and respond professionally is collected.

When you submit an enquiry, the site may collect your name, email address, project type, preferred date, location, budget range, intended content use, requested deliverables, referral source and the details written in your message.

When you submit a review, the site may collect your chosen display name, optional organisation, private email address, service, project date, rating, review text and publication consent. Moderation information, verification status and a public response may also be stored.

Hosting and security providers may process limited technical information such as an IP address, browser details, request times and diagnostic logs to deliver and protect the website.

Why it is used

Information is used to answer enquiries, manage projects, moderate reviews and protect the website.

Enquiry information is used to understand your request, discuss availability, prepare a quote and take steps towards a possible booking. Review information is used to verify, moderate and publish genuine feedback where permission has been given.

Stand-By Studios generally relies on taking steps at your request before entering into a contract, performing an agreed contract, legitimate interests in operating and protecting the business, and consent where it is specifically requested.

Service providers and embeds

Trusted providers process information only where needed to run the site.

The website is hosted by Netlify. Netlify may process form submissions, database records, serverless function requests and technical logs. Cloudflare Turnstile may be used to identify automated review submissions.

Pages containing YouTube or Flickr content load embedded services from those providers. Those services may receive technical information when the embed loads or when you interact with it, subject to their own privacy policies. YouTube videos use the privacy-enhanced youtube-nocookie.com domain where supported.

Personal information is not sold to advertisers. It may be disclosed where legally required, to protect rights or safety, or to professional advisers and service providers who need it for a legitimate business purpose.

Retention

Information is retained only for as long as it remains reasonably useful or legally necessary.

Unsuccessful or inactive enquiries are normally retained for up to 24 months after the last meaningful contact. Booking, invoice and contract records may be kept longer where required for accounting, tax, insurance or legal purposes. Published reviews may remain visible until they are removed, corrected or no longer relevant. Provider logs follow the retention settings of the relevant hosting or security service.

Your choices and rights

You may ask to access, correct or delete personal information held about you.

You may also object to certain uses, ask for processing to be restricted or withdraw consent where consent is the basis being used. Some requests may be limited where records must be kept for legal or contractual reasons.
